Choosing a Multi-Site HVAC Maintenance Contract

A multi-site agreement is only worth signing if it names the equipment, the visit frequency per unit type, the reporting format, and the after-hours response commitment. Per-site pricing without an asset list is a bid you cannot compare or enforce.

Section 1

Start with an asset list, not a price

Every unit at every location, with make, model, serial, age, refrigerant, and filter sizes. Without that, no contractor can price the work honestly and no facilities manager can verify the visits happened. Building the asset list is the first deliverable we produce, and it belongs to you whether or not you continue with us.

Frequency should follow equipment, not the calendar

Rooftop units serving retail can run semiannual. Kitchen exhaust-adjacent units need quarterly. Server-room and CRAC equipment needs quarterly with sensor calibration. A flat 'twice a year everywhere' contract overspends on some assets and underprotects the ones that shut down operations.

Reporting is what makes it auditable

Insist on a per-unit condition report with readings, not a signed ticket. Static pressure, superheat and subcooling, amp draws, capacitor values, and coil and filter condition. Trended over a year, those numbers predict failures — which is the entire reason to hold a contract rather than call for repairs.

The clauses that matter

Named after-hours response window and escalation contacts. Whether the repair discount covers labor only or parts too. Whether unused visits roll over. Who owns the asset data. How adding or closing a location changes the price. Those five items account for most of the disputes we hear about from portfolios switching providers.
